About the company:
We are looking for an Оffshore office manager for a Fintex Inc. is the brainchild of a group of seasoned entrepreneurs who envisioned partnering with wealth management firms to harness technology for tackling business challenges. Their leadership boasts a rich tapestry of experiences, including ideation, building, and launching intricate digital capabilities within Canada's premier financial institutions.

Responsibilities:
Administrative Operations
● Oversee daily office functions to ensure seamless operations and a well-organized work environment.
● Maintain office supplies inventory and manage vendor relationships for office services and equipment.
● Ensure compliance with company policies and maintain organized documentation.

Communication & Coordination
● Serve as a communication hub for internal teams, management, and external partners, ensuring professional and consistent messaging.
● Draft, proofread, and distribute internal memos, reports, and announcements with high attention to grammar and tone.
● Respond to phone calls, emails, and inquiries with clarity, tact, and professionalism in English.
● Facilitate clear communication between departments and assist with meeting coordination and agendas.

HR & Onboarding Support
● Support HR in scheduling interviews and coordinating onboarding activities for new hires.
● Ensure new employees receive all necessary tools, credentials, and office orientation.
● Assist with employee engagement initiatives, training logistics, and policy communication.

Financial & Vendor Management
● Track and process office-related expenses, invoices, and purchase orders.
● Maintain relationships with service providers, ensuring timely renewals and cost-effective solutions.

Offshore Team Support & Coordination
● Act as the primary liaison for coordinating with offshore or remote teams in different time zones.
● Ensure offshore staff have appropriate access to tools, systems, and documentation.
● Foster a sense of inclusion and collaboration between onshore and offshore teams through consistent, respectful communication.
● Monitor performance and escalate issues as needed in collaboration with department leads or HR.

Requirements:
● 3+ years of experience in an office management, administrative, or operations role.
● Excellent written and spoken English communication skills—with the ability to write professional business correspondence, internal policies, and customer-facing materials.
● Strong organizational, multitasking, and time management abilities.
● Comfortable working independently and taking initiative.
● Proficient with Microsoft Office Suite (Word, Excel, Outlook) and productivity tools. Other simple tools to manage the office
● High level of discretion when handling confidential information.
